Job Summary
The UW Extension Program Assistant provides support to educators and customer service to patrons/volunteers related to planning, communicating, and implementing educational programs within the department. The position also manages assigned tasks with sound independent judgment.




Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position.  Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodations to be qualified for the position.  Other duties may be required and assigned.


30% Program Support:
Provides support in collaboration with educators in development and preparation of educational program communications, including mailings, e-communication, and document generation. Uses volunteer database to manage communications and manage membership. Collects and provides receipts of program fees.


25% Patron/Volunteer Assistance:
Performs receptionist duties (phone, email, in-person correspondence and follow-up, direct calls, answer questions, schedule appointments, monitor office voicemail).


20% Registrations:
Maintains and collects registrant’s information for various educational programming. Uses program specific software to maintain registration and member information.


10% Reservations/Meeting Coordination:
Reserves locations and logistics for educational programming on-site and off-site.


5% Purchasing:
Maintains and orders basic office supplies (office paper, toner). Tracks and submits advanced office supplies or program specific supply requisition to Senior Program Assistant.


5% General Office:
Processes department mail (incoming and out-going, provide mail follow-up as needed, general office maintenance of office space and office equipment). Maintains and filea general office documents. Records staff meeting minutes. Assists with office civil rights file retention and miscellaneous document retention.


5% Office Equipment and Supply Management:
Maintains, tracks, fulfills office owned equipment and supply check-out requests for volunteer use. Uses check-out process developed, including equipment/supply check-out calendar and forms.

Minimum Education Qualifications


Education and/or Experience Requirements:
  • High School Diploma required.
  • Minimum 2 years administration assistant experience.
  • Licenses, Certifications, and Other Requirements:
    N/A


Minimum Knowledge, Skills, and Abilities Qualifications
  • In order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities are essential.

     
  • Effective oral and written communication skills.
  • Able to prioritize and multi-task ongoing office functions.
  • Proficient in Microsoft Office and Google Suites.
  • Ability to work in a small office team.
